    We are looking for an organized Executive Assistant to join our administrative team in downtown Toronto. The Executive Assistant will provide day-to-day administrative support to two busy executives in our C-suite and assist with things like calendar management, travel arrangements and expenses. The successful candidate must be well organized, very efficient, extremely resourceful, and have an adaptable and positive service attitude.

    Responsibilities

    • Management of the executive's calendar and preparation of all materials for the executive in advance of meetings and presentations
    • Attend/facilitate meetings and document discussions and actions (taking minutes) to track decisions and follow up items
    • Provides and often leads a full range of highly confidential secretarial/administrative support, exercising sensitivity, tact and diplomacy 
    • Supports the management of correspondence & communications i.e. message follow-ups, email management, internal & external liaison
    • Prepares complex correspondence, reports, presentations, agendas, minutes, etc. using business software applications (e.g., word processing and spreadsheets)
    • Receives and directs incoming calls, visitors, mail and e-mail, prioritising communications as appropriate
    • Responsible for maintaining files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements, and tracks expenses
    • Participates in the development and implementation of secretarial/administrative standards, policies and practices 

    Qualifications

    • Degree or Diploma in Business Administration, Finance, Accounting, or related field
    • A minimum of 4 years’ experience supporting a C-level executive OR an Executive in Finance (CFO, VP or Director of Finance)
    • Advanced MS Office Skills (PowerPoint, Word, Excel, Outlook)
    • Strong time management skills with the ability to prioritize a heavy workload
    • Excellent communication skills (verbal and written)
    • Strong attention to detail
